Signit - Sign Certificates Virtually

Sign.it is a platform that allows clubs in our colleges to get approval for certificates from the concerned authority virtually. The platform is also responsible for distribution and certificate management.

Introduction

Signit is an attempt to create a platform to systematically manage the authorization and distribution of certificates for various different events. With the pandemic driving the entire workflow to go online, it’s been difficult to ensure a proper workflow, especially the part where a certificate needs to be authorized by an administrator. Starting with the vision of enabling the different technical, literary, and art clubs of the National Institute of Technology, Rourkela to easily get approvals and signatures on the certificate from the administration of the institute, Signit quickly turned into a larger platform that can be used by anyone.

Strengths

  • Everything is clearly segregated and easy to grasp

  • The process is laid out in a sequential manner

  • Custom emails can be attached to certain emails.

  • The user has a clear database of the certificates sent out.

Weaknesses

  • This is specifically meant for organizations sending out emails to the same customers

  • There is no way to edit a certificate after it has been sent

  • It has no complaint center for participants/recipients

  • Although the process is sequential, there is no clear indication suggesting this fact

  • The entire process feels a bit too lengthy at times.

Strengths

  • The person does not have move out the email ecosystem

  • Everything is achieved in a single step (if signature is already uploaded)

  • An inventory is created for all the signed documents.

  • Even the place for signing is decided by the sender

  • There is only a single step acknowledgment for signing these documents

  • There isn’t any option provided to upload the original signature of the user

Conducting User Testing

After creating the above-shown version, I created a prototype of the same to show my stakeholders and conduct a user test. Using “Maze” and “Figma” I created a small task-based test for creating and managing certificates i.e. for the club managers. 15 people, including club presidents and managers, participated in this test. They also provided their feedbacks after the completion of the test.

Results/Analysis

The results of the test came out really encouraging. With a usability score of 75, the platform was mostly deemed usable by all participants. Maze generates heat maps and calculates bounce rates based on predetermined paths Using this data I was able to identify key areas that I had to improve in order to provide an even better experience to my users. Some of these changes and heat maps are shown below.

Signet is the app that I designed for my college. An MPV of this has already been used to distribute certificates to over 2300 participants for the HackNITR 3.0 event, which is one of East India’s biggest hackathons. The development of the platform was undertaken by the brilliant developers at GDSC NIT Rourkela, headed by Ritesh Patil and Abel Matthew.
